We collect only what is necessary to run the platform:
We do not collect payment information, location data, or IP addresses for tracking. We do not use analytics tools, advertising networks, or third-party trackers. We use only one essential session cookie to keep you logged in — nothing else.
Rooview is not designed to store sensitive personal data such as health information, ethnic origin, or other special category data under GDPR. We strongly advise all users — particularly supervisors — not to enter such information into the platform. If sensitive data is recorded by a user, that user accepts responsibility for the appropriateness and legality of doing so. We take reasonable steps to protect all data stored on the platform, but we cannot accept liability for sensitive data recorded without our knowledge or intention.
Your name and email are used to identify you within the platform, send invitation and password reset emails, and allow your supervisor to communicate with you. Your uploaded files and review notes are stored so you and your supervisor can access them within the platform. We have no other use for this data.
We process your personal data under: contractual necessity (your name and email are needed to provide the service you signed up for), legitimate interests (storing review records benefits your academic or professional progress), and consent (where you agreed at registration — which you may withdraw at any time by contacting us).
We retain your account data for as long as your account is active. If you request deletion, we will remove your personal data within 30 days. Review records may be retained longer if required by your institution — your administrator will inform you if this applies.
Your supervisor can see your name, email, submitted files, and review notes. Platform administrators can see basic account information. No one outside the platform can see your data. We do not share data with any third parties, except where required by law.
We take reasonable technical precautions to protect your data using current best practices — including encrypted HTTPS connections, hashed password storage, and restricted server access. However, no online system can guarantee absolute security. By using Rooview, you acknowledge this inherent limitation. We will notify affected users promptly in the event of a data breach.

You may request full deletion of your account and personal data at any time by emailing support@review.rooz.com. We will action your request within 30 days and confirm when complete. You may also request a copy of your data before deletion. Note that review records held by your institution may be subject to their own retention policies.
We use only one essential cookie — a session cookie that keeps you logged in while you use the platform. This is deleted when you sign out or close your browser. We use no advertising, tracking, or analytics cookies of any kind.
We may update this policy occasionally. If we make significant changes, we will notify you by email. The date at the top of this page reflects when it was last updated.
